Key Responsibilities

- Ensure the best administrative system is in place with the team to deliver professional and efficient exhibitions.
- Manage the stand service section of the operations team, having a handle on any complex stand builds and the contractors working in our shows along with the number of stands they are building at any one show etc. Ensure the team has secured all stand designs and various health and safety documents. All designs should meet the health and safety regulations required by the venues in which we operate.
- Oversee outgoing communications from the team in particular to contractors and exhibitors. Written communications should be well written and professional. Information communicated should be clear and consistent across all the staff.
- Accountable for the successful and smooth operation of all exhibitions and events, including build and breakdown of the shows. Management of: engineering, graphics, security, floorplans, cleaning, electrical, seating, staging, rigging, venue, stand contractors, etc. etc. All shows must be well resourced and supported as required.
- Ensure procedures and systems are in place for the production of online exhibitor manuals, introduce new ideas to improve the function and navigation where possible. The objective is to create a manual that is seamless, straight forward and efficient for exhibitors and contractors to use.
- Implement and control policies and procedures related to operations such as A) Health and Safety on site at the venues for internal staff. B) Health and Safety on site for contractors C) Health and Safety on site for exhibitors.
- Make sure procedures are in place for the monitoring of all exhibitor information received in order to ensure a smooth and trouble free exhibition.
- Maintain a balance between key contractors across the portfolio of events to ensure we are not reliant on any one contractor in a specific discipline.
- Ensure that third party contractors perform to a standard of service and professionalism that we would expect to see at all our events.
- Ensure that the operational costs of our events remain updated and accurate at all times within the event budget trackers. Alert senior staff of any major changes in costs.

Skills

- Senior level operations experience in organizing and delivering large scale events Internationally, preferably in the - Middle East – both exhibition and conference experience
- First class communication skills – both oral and written
- Full knowledge of stand build regulations and modular stand build components.
- Knowledge of worldwide venue rules and regulations relating to the build of exhibitions and events.
- Excellent knowledge of Excel, Outlook, AutoCAD, Word & Powerpoint.
- Experienced in dealing with International Health and Safety standards with trade exhibition venues
- Able to manage suppliers to maximize their service levels and still maintain good working relations
- Knowledge of freight forwarding regulations.
- Understanding of online exhibitor manual software.
- Knowledge and experience of floor plan management and optimization
- Strong planner – able to manage complex tasks over a defined period
